Grove City Bowl-O-Drome ("we", "us", or "our") operates the website at https://grovecitybowlodrome.com (the "Site"). This Privacy Policy explains what information we collect, how we use it, and your rights regarding it. By using the Site and voluntarily submitting personal information through our forms, you consent to the practices described in this policy to the extent required by applicable law.

Information We Collect

We collect only the minimum information necessary to operate the Site:

  • Contact and sign-up information — When you sign up for a league, tournament, the Summer Bowling Club, or another program, we collect your name, email address, and phone number where required, along with any other details you voluntarily provide on that form.
  • Payment information — Online payments are processed by Stripe. We never see or store your full card number, expiry date, or CVV. Stripe's own privacy policy governs how payment data is handled.
  • Anonymous visit analytics — We log basic page-view data (page path, referrer, and timestamp) for our own internal statistics. To count unique daily visitors without storing any personal information, the site sets a randomly generated analytics cookie (gcb_vid) in your browser. The raw cookie value is never written to any database; instead it is cryptographically hashed together with the current date before being stored, so the same visitor counts as a new unique each calendar day and the stored value cannot be linked back to you. We do not store your IP address as part of analytics.

Information We Do Not Collect

  • We do not store IP addresses for analytics or general logging purposes. As a limited exception, when a sign-up or subscription form submission is flagged by our automated spam-protection system, the submitting IP address may be retained in an internal security log for a short period solely to enforce rate limits and block repeat abuse. These records are not used for any other purpose and are not linked to legitimate subscriber records.
  • We do not use third-party advertising networks or ad-tracking pixels.
  • We use Ahrefs Analytics to measure website traffic and understand which search queries bring visitors to our site. Ahrefs Analytics collects aggregated, anonymized traffic data. No personally identifiable information is shared. You can review Ahrefs’ privacy practices at ahrefs.com/privacy.
  • We do not use behavioral tracking, cross-site tracking, or fingerprinting.
  • We do not sell, rent, or trade any personal information to third parties.

Cookies

The Site uses one first-party cookie and may set third-party session cookies in specific situations:

  • Analytics visitor ID (gcb_vid) — Set on every page visit. A randomly generated 32-character ID used solely to count unique daily visitors in our internal stats. The raw value is never stored; only a daily-rotating cryptographic hash is written to the database. This cookie has a 1-year lifespan but carries no personally identifiable information and is not shared with any third party.
  • Ahrefs Analytics (_ahrefs_*) — Set by the Ahrefs Analytics script included on every page. Used to measure aggregate website traffic and search performance. The data is anonymized and not linked to any personally identifiable information. See ahrefs.com/privacy for details.
  • Booking and payment session cookies — A short-lived session cookie may be set if you use the online booking widget (provided by Placefull) or the Stripe checkout flow. These are strictly necessary for those features to function and are removed when you close your browser.

Birthday Party Photo Uploads

When a birthday party is booked at Grove City Bowl-O-Drome, we may send the parent or guardian a private, token-secured link that allows them to voluntarily upload photos and a personal message for display at their child's party. This feature is entirely optional.

  • The upload link is private and unique to each booking, it is not publicly indexed or listed.
  • Photos submitted through the upload form are processed on our server to automatically strip all EXIF metadata (including GPS location, device information, and timestamps) before being stored. The stored photo contains image data only.
  • Photos and messages are stored securely on our server and used solely to personalize the party experience (e.g., displayed at the party).
  • We do not share party photos with any third party, post them publicly, or use them for any purpose beyond the party itself.
  • Upload links expire automatically the day before the party so we have time to prepare.
  • Photos and messages are automatically and permanently deleted from our server within 24 hours after the party date. You do not need to request this as it happens automatically.
  • If you have an urgent concern about a specific photo before the automatic deletion window, you may contact us using the details at the bottom of this page and we will remove it immediately.
  • The upload form includes an optional checkbox allowing you to consent to Grove City Bowl-O-Drome retaining your email address after the party for occasional communications such as birthday reminders, rebook invitations, or special offers. This checkbox is entirely optional; leaving it unchecked has no effect on your party. If you check it, your contact information will be retained beyond the normal 24-hour deletion window solely for those communications. You may withdraw this consent at any time by contacting us.

Marketing Email Communications

Grove City Bowl-O-Drome sends marketing or promotional emails only to individuals who have explicitly opted in. An optional marketing opt-in checkbox appears on every sign-up form on this site. Opt-in points include:

  • League interest sign-up form — optional checkboxes for league openings, tournaments, and specials.
  • Tournament registration form — optional checkboxes for tournaments, league openings, and specials.
  • Summer Bowling Club registration form — optional checkboxes for league openings, tournaments, and specials.
  • Birthday party photo upload form — an optional single checkbox for birthday reminders, rebook invitations, and free-bowling coupons.
  • "Stay Connected" footer form — a dedicated sign-up form available on every page where you choose which topics to hear about: league openings, tournaments, or specials.
  • Your email address will not be shared with any third party for marketing purposes.
  • You can withdraw your consent or update your topic preferences at any time by using the "Manage Email Preferences" link in any marketing email we send, or by contacting us directly using the details at the bottom of this page.
  • We will never send marketing emails to individuals who have not opted in.

Photography & Media

This section applies only to photos and videos taken by Grove City Bowl-O-Drome staff or on our behalf at our facility. It does not apply to photos voluntarily uploaded by parents through the Birthday Party Upload feature, which are governed exclusively by the "Birthday Party Photo Uploads" section above and are never used for any promotional purpose.

Photos and videos are taken at Grove City Bowl-O-Drome during leagues, events, open bowling, and general visits. By entering our facility, you acknowledge that you may appear in photos or videos that could be published on our website gallery, our social media pages (Facebook and Instagram), or used in promotional and marketing materials produced by Grove City Bowl-O-Drome.

Such promotional and marketing use may include, but is not limited to, in-house flyers, digital flyers, tournament announcements, social media posts, and other materials promoting events or programs at our facility. Grove City Bowl-O-Drome does not provide monetary compensation or any other consideration for the appearance of any individual in photos or videos used for these purposes. By entering the facility you grant Grove City Bowl-O-Drome a non-exclusive, royalty-free license to use your likeness in such materials. This is consistent with standard practice at sporting facilities, recreational centers, and sanctioned athletic events.

If you appear in a photo you would like removed, please contact us (see below) and we will take it down promptly.

League Standings & Competitive Records

Participation in any league at Grove City Bowl-O-Drome involves the creation and distribution of league standings sheets, score reports, and similar competitive records. These documents display bowler names, scores, averages, and standings as part of normal competitive bowling operations.

By registering for a league or, in the case of a minor, by a parent or guardian registering on their behalf, participants acknowledge and consent to their name and competitive statistics appearing on standings sheets that may be:

  • Posted publicly on this website.
  • Published to LeagueSecretary.com, a third-party league management platform. Standings uploaded to our site are simultaneously submitted there. We do not pull data from LeagueSecretary.com to this site, nor does data flow in the other direction outside of those uploads.
  • Distributed to all members of the league.
  • Reported to the United States Bowling Congress (USBC) or other sanctioning bodies as required for certified league play.
  • Included in any tournament brackets, prize-fund reports, or end-of-season award summaries.

This practice is standard throughout the sport of bowling at all levels from local house leagues to USBC-certified competitions, regional tournaments, and national events and is consistent with how competitive athletic records are handled across organized sports. Standings sheets contain only competitive information (name, scores, averages, and standings); they do not include contact details, addresses, phone numbers, or other personal identifiers.

Social Media Integration — Facebook & Instagram

We use two internal tools to share content to our social media pages:

  • Facebook Auto-Poster — An internal automation tool ("fb-poster") that publishes our own news articles to our Facebook Page automatically by reading our own RSS feed. It does not collect, store, or process any personal data belonging to website visitors or Facebook users. It uses a Facebook Page Access Token scoped exclusively to our Page and authorized by our Page administrator.
  • Instagram Sharing — When photos are uploaded to our website gallery by an administrator, there is an option to simultaneously share that photo to our Instagram page. This is a manual, admin-initiated action. No visitor or customer data is transmitted to Instagram; only the photo itself is shared.

Both integrations are private, internal utilities not available to any third party. The Facebook and Instagram APIs are used in accordance with Meta's Platform Terms. Meta's own Privacy Policy governs any data collected when you interact with our Facebook or Instagram pages.

How We Use Your Information

Information you voluntarily provide (e.g., league sign-ups) is used only to:

  • Process your registration or payment.
  • Contact you about the program you signed up for.
  • Send administrative notices related to your participation.

We do not use your information for marketing to unrelated third parties. All emails we send are transactional or administrative and are directly related to a program or service you enrolled in. If you opted in to marketing communications through any sign-up form or the footer subscription form, we may also send occasional promotional emails such as birthday reminders, rebook invitations, or special offers. You can withdraw that consent at any time by contacting us. We do not send unsolicited promotional email to anyone who has not explicitly opted in.

Data Retention

Sign-up and registration records are kept for the duration of the season or program plus a reasonable period afterward for our records. You may request deletion of your data at any time by contacting us (see below).

Third-Party Services

The Site uses the following third-party services, each governed by their own privacy policy:

  • Stripe — online payment processing
  • WalletWallet — Apple & Google Wallet pass generation for the Summer Bowling Club
  • Placefull — online lane booking widget
  • LeagueSecretary.com — league management platform; bowler names and competitive standings are published there at the same time standings are uploaded to this site
  • Stop Forum Spam — spam screening service; when a sign-up or subscription form is submitted, the email address and IP address of the submitter are checked against the Stop Forum Spam database to detect and block automated abuse
  • Meta / Facebook & Instagram — social media pages
  • Google Fonts — typefaces loaded from Google's CDN

Children's Privacy

Our Site is a general-purpose local business website. We do not knowingly collect personal information from children under 13 except through our supervised youth bowling programs. Youth program registrations require a parent or guardian to complete the sign-up on behalf of their child. By completing such a registration, the parent or guardian expressly consents to the collection and use of that child's information as described in this policy. If you believe a child under 13 has submitted personal information without verifiable parental consent, please contact us immediately and we will promptly delete it.

Security

The Site is served exclusively over HTTPS. Sensitive credentials are stored on our server and never exposed publicly. We apply server-level security headers and follow current best practices to protect the Site and any data stored on it. No method of transmission over the internet is 100% secure, and we cannot guarantee absolute security.

Data Breach Notification. In the event of a security incident that compromises your personal information, we will notify affected individuals as required by Pennsylvania's Breach of Personal Information Notification Act (73 P.S. § 2303) and any other applicable state or federal law. Where possible, notification will be sent to the email address you provided.

Legal Disclosures

We may disclose personal information if we believe in good faith that doing so is necessary to:

  • Comply with a valid legal obligation, court order, subpoena, or other legal process served on us.
  • Respond to a lawful request by public authorities, including law enforcement or regulatory agencies.

Residents of states with specific statutory privacy rights — such as California (CCPA/CPRA), Virginia (VCDPA), or Colorado (CPA) — may have additional rights under those laws and we will make reasonable efforts to comply. We may verify your identity before responding to any request.

Governing Law

This Privacy Policy is governed by the laws of the Commonwealth of Pennsylvania, without regard to its conflict-of-law provisions. Any dispute arising in connection with this policy shall be subject to the exclusive jurisdiction of the state and federal courts located in Mercer County, Pennsylvania.

Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top of this page will always reflect the most recent revision.
